How to Automatically Import CSV Files into Quickbase Using Sync

Overview

Sync for CSV allows you to automatically upload data from a .csv file into Quickbase by placing the file in a designated folder (such as Dropbox or an FTP location).

Each row in the CSV file becomes a new record in Quickbase, and each column maps to a corresponding field.

This method is especially useful for teams that need a simple, repeatable, and automated way to bring external data into Quickbase.

Why Use Sync for CSV?

Using Sync for CSV offers several advantages over manual uploads or API-based integrations:

  • No Quickbase login required
    Users can update data by uploading files to a shared folder without accessing Quickbase.

Before You Begin

Make sure you have:

  • A .csv file exported from your source system
  • Access to a cloud storage service (e.g., Dropbox, Box, or FTP)
  • Permissions to create tables in Quickbase

Step 1: Create a Connected Table in Quickbase

  1. In Quickbase, create a new table.
  2. Select Use connected data.
  3. Choose your file storage provider (e.g., Dropbox, Box, or FTP).
  4. Connect to the folder where your CSV files will be stored.

Quickbase will guide you through setting up the connection.

Step 2: Upload and Map Your CSV File

  1. Upload your initial .csv file to the connected folder.
  2. In Quickbase, begin the sync setup process.
  3. Map each CSV column to the appropriate Quickbase field.

Once mapping is complete:

  • The configuration is saved.
  • All future CSV files added to the folder will use the same mapping automatically.

Step 3: Enable Non-User Data Updates

With this setup, users do not need Quickbase access to contribute data.

How it works:

  1. A user exports a CSV file from an external system (e.g., work order software).
  2. The user uploads the file to the shared folder (e.g., Dropbox).
  3. Quickbase automatically syncs the data into the connected table.

This allows teams to update Quickbase without logging in or maintaining user accounts.

Step 4: Automate File Delivery (Optional step)

You can fully automate this process using integration tools like Workato or Zapier.

Example Workflow

  • Your source system generates a scheduled report and emails it as a CSV attachment.
  • The email is sent to a Zapier or Workato-connected inbox.
  • The automation tool:
    • Extracts the attachment
    • Uploads it to your designated Dropbox (or other storage) folder
  • Quickbase automatically syncs the new file into your table
