Project: Funeral Service Operations Modernization & Workflow Automation

Recompose Life is an innovative funeral services organization focused on providing an alternative to conventional end-of-life arrangements. Its approach emphasizes environmentally conscious deathcare, offering families a more sustainable option while supporting the personal, emotional, and administrative needs involved in planning end-of-life services.

Operating in a highly specialized industry, Recompose Life must coordinate sensitive customer interactions, service arrangements, documentation, scheduling, and financial processes. These interconnected responsibilities create a need for reliable operational systems that support both the organization's team and the families it serves.

As its operational requirements evolved, Recompose Life engaged Quandary Consulting Group to develop and enhance a centralized Quickbase environment capable of supporting customer relationships, internal workflows, and administrative operations.

The Challenges

Connecting Complex Funeral Service Workflows

Funeral service providers manage more than customer relationships. Each arrangement involves a series of time-sensitive activities, from initial inquiries and documentation to scheduling, service coordination, invoicing, and payment management.

For Recompose Life, the opportunity was to create a more structured, connected operational environment that could support these processes without requiring teams to manage every activity independently.

The organization needed a centralized solution to improve visibility across the customer lifecycle while reducing administrative complexity.

Its operational requirements included:

  • Customer lifecycle management: Supporting distinct workflows for at-need, near-need, and pre-need arrangements.
  • Task coordination: Assigning responsibilities, tracking deadlines, and maintaining visibility across team members.
  • Document management: Generating ceremony-related documentation and coordinating approvals through electronic signatures.
  • Scheduling: Providing calendar-based visibility into events, appointments, and operational activities.
  • Financial operations: Connecting invoice creation and payment records to the underlying customer and service workflows.
  • Operational reporting: Giving stakeholders a centralized view of outstanding activities, customer interactions, and process status.

Without connected workflows, organizations managing these responsibilities can face duplicated data entry, fragmented information, delayed handoffs, and limited visibility into service progress.

Recompose Life sought a flexible application architecture that could address these challenges while adapting to its specialized business model.

The Solutions

A Connected Quickbase Platform for Funeral Service Management

Quandary Consulting Group designed a phased Quickbase development strategy to support Recompose Life's customer-facing and administrative operations.

The engagement begin with the development of a comprehensive CRM and workflow management application.

A subsequent second engagement expanded the planned functionality to include calendar management, custom interfaces, and bidirectional financial integration.

Centralized CRM and Customer Lifecycle Management

Quandary's initial engagement focused on building a comprehensive CRM application within Quickbase to streamline the organization's sales and service coordination processes.

The proposed solution introduced configurable workflows for three distinct customer scenarios:

  • At-need arrangements
  • Near-need planning
  • Pre-need services

Core capabilities included:

  • Activity and interaction tracking
  • Task assignment
  • Reassignment
  • Status monitoring
  • Automated email notifications
  • Team dashboards
  • Native Quickbase Kanban boards
  • Calendar reporting

These features were included to help employees visualize responsibilities, track outstanding activities, and coordinate work across the organization.

By organizing customer information and operational tasks within a shared application, Recompose Life could establish a more consistent approach to managing each arrangement.

Automated Document Generation and Electronic Signatures

Funeral service arrangements require careful management of documents, confirmations, and approvals.

Quandary's solution included a DocuSign integration through Quickbase Pipelines, allowing designated stakeholders to confirm receipt or approval of documents electronically.

The initial build also included custom code development for generating Order of Ceremony documents. These documents were intended to be distributed manually by funeral directors after generation.

Together, these capabilities were designed to simplify document preparation, reduce repetitive administrative tasks, and improve visibility into approval activities.

Centralized Scheduling with peakSUITE Calendar

As Recompose Life's operational needs expanded, Quandary's second engagement addressed scheduling and event management.

The implementation incorporated peakSUITE Calendar into the existing Quickbase environment, supported by new table structures, native forms, event reporting, custom user interface enhancements and custom forms were designed around client-specified colors, layouts, and existing application fields.

This approach would allow Recompose Life to coordinate calendar events within its broader operational platform rather than treating scheduling as a disconnected activity.

Bidirectional Quickbase and Invoiced Integration

Financial workflow integration represented another important component for Recompose Life.

Quandary scoped a bidirectional integration between Quickbase and Invoiced to connect operational records with invoicing and payment information.

The integration was designed to support two primary processes:

  • Invoice creation: Invoice records, including individual line items, could be generated in Quickbase and transmitted to Invoiced through triggered actions, either individually or in batches.
  • Payment synchronization: Payment information from Invoiced could be retrieved and stored within Quickbase, linked to the original invoice record.

This architecture was intended to reduce duplicate data entry, improve financial record consistency, and provide operational teams with better visibility into payment activity.

By connecting invoicing and payment data with the underlying Quickbase application, Recompose Life could manage more of its customer lifecycle from a common operational environment.

The Results

Quandary Consulting Group partnered with Recompose Life to modernize its business operations through custom workflow development, intelligent automation, and enterprise system integration.

By implementing a centralized Quickbase platform integrated with DocuSign and Invoiced by Flywire, Quandary helped eliminate fragmented processes, reduce manual administrative tasks, and improve visibility across customer relationships, document management, service coordination, and financial operations.

The connected workflows enabled Recompose Life to streamline day-to-day operations, accelerate document approvals, improve invoicing accuracy, and strengthen collaboration across teams.

The resulting improvements in administrative efficiency, operational visibility, document processing, and financial workflows established a more scalable operational foundation, allowing Recompose Life to focus more resources on delivering meaningful services to the families they support.

Business Impact: Building a Foundation for Connected Operations

For specialized service organizations, operational efficiency is not simply about reducing costs. It is also about giving employees the information and tools they need to provide a consistent, responsive customer experience.

The Recompose Life engagement illustrates how low-code development and targeted system integrations can support this objective.

By bringing customer management, workflow coordination, documentation, scheduling, and financial processes into a connected Quickbase architecture, Quandary designed a foundation for more efficient service delivery.

This solution also demonstrates the value of a phased modernization strategy. Rather than replacing every business process at once, this allows organizations to establish a centralized operational platform and progressively introduce new functionality as their requirements evolve.

For Recompose Life, this phased-delivery strategy was reflected in the progression from CRM and document workflows in the first engagement to scheduling enhancements and financial integration in the second engagement.
