KHD Humboldt Wedag Remolded Engineering, Procurement, and Project Operations with SAP + Quickbase

The Client Profile: KHD Humboldt Wedag

Client: KHD Humboldt Wedag

Use Case: Engineering Project Management, Procurement Automation, RFQ & Vendor Bid Management, Workflow Optimization, Financial Reporting

Technology: Quickbase, SAP, Microsoft Access (Legacy System)

Headquarters: Cologne, Germany

Project: Enterprise Project Management, Procurement & Workflow Modernization

KHD Humboldt Wedag is an industrial engineering and technology company specializing in equipment, systems, and solutions for the cement industry. Its operations involve complex engineering projects, equipment procurement, supplier coordination, and project execution.

Operating in a capital-intensive industry, the company must manage interconnected processes spanning procurement, engineering, quality control, project scheduling, logistics, and financial oversight.

To modernize these workflows, KHD Humboldt Wedag partnered with Quandary Consulting Group to develop a Quickbase-based operational platform integrated with SAP, replacing legacy Microsoft Access functionality and improving coordination across departments.

The Challenges

Disconnected Procurement, Engineering, and Project Workflows

Large-scale industrial engineering projects require close coordination between procurement teams, engineers, project managers, vendors, and finance departments.

KHD Humboldt Wedag sought to modernize its existing Microsoft Access environment while improving visibility across the project lifecycle.

Its requirements included managing requests for quotations (RFQs), comparing vendor bids, linking purchase orders to projects, assigning engineering tasks, tracking project milestones, and coordinating invoicing activities.

The organization also needed better access to information maintained across SAP and legacy databases.

Without an integrated operational platform, these processes can create administrative bottlenecks, inconsistent project information, delayed approvals, and limited visibility into financial commitments.

The goal was to establish a centralized system capable of connecting procurement, engineering, project execution, and financial reporting.

The Solutions

An Integrated Quickbase Project Management Platform

Quandary Consulting Group was engaged to develop a customized Quickbase application supporting KHD Humboldt Wedag's engineering and procurement operations.

The solution combined native Quickbase functionality, SAP integration, automated workflows, role-based dashboards, and financial tracking.

SAP Integration and Legacy Database Modernization

Quandary designed a custom integration with SAP to be able bring sales orders, purchase orders, and purchase requisitions into Quickbase.

The application was also designed to incorporate historical data from Microsoft Access, including customer and vendor lists, packing lists, and purchase order records.

This architecture gave employees a centralized environment for accessing operational information while maintaining connections to established enterprise systems.

RFQ Management and Vendor Bid Comparison

Quandary's proposed procurement workflow supported the creation and management of requests for quotations, vendor bid tracking, and bid comparisons.

Approved RFQs were linked to actual sales orders and purchase orders, creating greater continuity between purchasing decisions and downstream project execution.

This functionality design intended to improve procurement transparency, streamline vendor evaluation, and reduce manual coordination.

Automated Engineering Task Management

Quandary redesigned KHD's workflows to create projects and automatically associate applicable equipment and engineering tasks.

Standardized templates assigned tasks based on project type and equipment requirements, while project managers could remove equipment that was not relevant.

Quandary also added additional functionality, which included overdue-task reminders, alerts, status updates, and employee comments.

These capabilities helped engineering teams coordinate responsibilities and identify outstanding work.

Project Milestone Tracking and Quality Management

The proposed Quickbase application included project management workflows with billable milestones, task assignments, and reporting dashboards.

Supporting workflows covered quality control, quality assurance, shipping, drawings, and project deliverables.

Project managers were now able to use centralized dashboards to monitor schedules, identify upcoming milestones, and maintain visibility into execution progress.

Financial Tracking and Automated Invoice Readiness

Quandary's custom solution also addressed financial oversight through purchase order tracking, accounts receivable dashboards, margin reporting, and approval workflows.

Milestone-based notifications were designed to identify when projects became eligible for invoicing.

By connecting project execution with financial reporting, KHD Humboldt Wedag gained better visibility into outstanding commitments, available funding, and invoice readiness.

Centralized Reporting and Operational Dashboards

Quandary's custom development also included role-based dashboards, administrative reporting, and executive visibility into operational activity.

Reporting capabilities were designed to support procurement status, project schedules, engineering tasks, vendor commitments, and financial performance.

This approach gave the stakeholder's at KHD a more consistent view of project health without relying on disconnected reports.

The Results

40% Reduction in Manual Procurement Activities

Centralized RFQ management, automated vendor bid comparisons, and SAP integration reduced manual procurement activities by an estimated 40%, streamlining purchasing decisions and minimizing duplicate data entry.

35% Improvement in Engineering Workflow Efficiency

Automated task assignments, standardized engineering templates, and project milestone tracking improved engineering workflow efficiency by an estimated 35%, reducing administrative coordination and helping teams maintain project schedules.

50% Faster Project Reporting

Centralized Quickbase dashboards, automated reporting, and integrated project information could reduce the time required to prepare operational and financial reports by an estimated 50%, giving stakeholders faster access to project performance data.

40% Reduction in Invoice Processing Delays

Automated milestone notifications, accounts receivable dashboards, and improved invoice readiness tracking could reduce administrative delays in invoice processing by an estimated 40%, improving billing coordination and financial visibility.

25–35% Reduction in Manual Data Management

Integrating SAP and migrating relevant Microsoft Access data into Quickbase could reduce manual data management activities by an estimated 35%, improving information consistency across procurement, engineering, and project operations.

Business Impact: Connecting Engineering Execution with Financial Operations

The KHD Humboldt Wedag engagement demonstrates how enterprise integration and low-code application development can help industrial organizations modernize complex operational processes.

By connecting procurement, engineering task management, project milestones, and financial reporting, Quandary designed a foundation for more coordinated project execution.

Rather than replacing SAP, the implementation of the Quickbase platform extended existing enterprise capabilities with customized workflows, operational dashboards, and automation tailored to KHD Humboldt Wedag's business requirements.

The engagement illustrates how manufacturers and industrial engineering companies can use low-code technology to improve operational visibility, reduce administrative complexity, and support more scalable project management.
