The company reports more than $1 billion in business funding and operates in an industry where the ability to quickly communicate with prospects, collect information, follow up on financing opportunities, and move qualified applicants toward funding has a direct impact on both customer experience and revenue.

As AFN's business grew, connecting its communications infrastructure with its operational CRM became increasingly important. Funding specialists needed to manage calls and text messages without constantly moving between systems, while leadership needed a reliable record of every customer interaction.

That requirement led Advance Funds Network to partner with Quandary Consulting Group to connect RingCentral and Quickbase through a custom API integration and automated customer communication platform.

The Challenges

Customer Communications and Funding Data Were Operating in Separate Systems

For Advance Funds Network, customer communication is a critical part of the business funding lifecycle. Funding specialists regularly engage with prospective and existing customers to discuss financing applications, documentation requirements, available funding options, approvals, follow-ups, and next steps—making timely, well-documented communication essential to moving opportunities forward.

However, customer communications taking place through RingCentral were not inherently connected to the Quickbase Leads and Deals records employees relied on to manage financing opportunities. This created a significant operational disconnect between the conversations happening with customers and the records used to manage those relationships.

A funding specialist might speak with a customer in RingCentral while the corresponding application, lead, or deal was being managed separately in Quickbase. Employees were then responsible for bridging the gap between the two systems, making it more difficult to maintain a complete and current view of customer activity.

As a result, valuable communication data—including phone calls, text messages, voicemail activity, call recordings, and other customer interactions—could become fragmented across systems rather than being connected directly to the appropriate lead or deal. For a business focused on moving customers through the funding process quickly and efficiently, this separation introduced unnecessary friction. Advance Funds Network needed a more connected approach that could bring customer communications and financing workflows together, giving employees easier access to the information and interaction history needed to manage opportunities, coordinate follow-up, and keep funding decisions moving forward.

Manual Call Tracking Limited Visibility

Without a centralized communication history, AFN employees needed to manually document important customer interactions, which made it harder to answer basic operational questions:

  • Which funding specialist spoke with the customer?
  • When did the conversation happen?
  • How long did the customer wait before the call was answered?
  • Which RingCentral extension received the call?
  • Was there a recording?
  • Did the customer leave a voicemail?
  • Was a text message sent?
  • Which Lead or Deal did the conversation belong to?
  • What follow-up was required?

Every manual step created another opportunity for incomplete records, inconsistent CRM data, delayed follow-up, and lost visibility into the customer journey.

Phone Calls Needed to Become Part of the CRM Workflow

Advance Funds Network needed RingCentral communication activity to become a seamless part of the corresponding Quickbase customer record, eliminating the need for employees to manually connect conversations with financing opportunities.

The integration needed to automatically match incoming phone numbers against existing Lead and Deal records in Quickbase, allowing communication history to follow the customer throughout the funding lifecycle rather than remain isolated within RingCentral. This would give funding specialists a more complete view of each customer relationship directly within the system they already used to manage opportunities. To accomplish this, the project established several critical integration requirements. Incoming calls and other communication activity needed to be automatically identified, matched, and associated with the appropriate Lead or Deal based on the customer’s phone number, with relevant interaction details recorded directly within Quickbase.

This created the foundation for a more connected customer communication workflow, where RingCentral managed the interaction while Quickbase maintained the complete operational record, which gave Advance Funds Network greater visibility into customer engagement without requiring employees to manually reconcile activity between systems.

Text Messaging Created Another Disconnected Communication Channel

Phone calls represented only one part of the communication challenge. Advance Funds Network (AFN) also needed incoming and outgoing text messages to become part of the same centralized customer and deal history within Quickbase; and, without integration, SMS conversations created another communication silo, requiring employees to manually connect text activity with the appropriate Lead or Deal record. This made it more difficult to maintain a complete view of customer engagement and introduced additional administrative work into a process where speed and responsiveness were critical.

AFN needed incoming text messages to be automatically matched to the appropriate Lead or Deal based on the customer’s phone number, while outbound messages needed to be captured and associated with the corresponding Quickbase record. This would allow SMS activity to become part of the customer’s ongoing communication history rather than remain isolated within RingCentral; and, at the same time, the solution needed to preserve the flexibility of real customer conversations. Funding specialists needed the ability to write personalized, free-form text messages based on the specific customer, financing opportunity, and stage of the funding process rather than being limited to predefined or automated responses. By connecting two-way SMS activity with Quickbase, AFN could create a more complete and accessible customer communication record while allowing funding specialists to continue communicating with customers naturally and efficiently.

Call Recordings and Voicemails Contained Valuable Customer Context

RingCentral also contained valuable customer communication data that could significantly enhance the usefulness of Advance Funds Network’s Quickbase CRM. Call recordings preserved important details from customer conversations, while voicemail transcripts captured messages, requests, and follow-up information when funding specialists were unavailable.

Without integration, employees had to move between Quickbase and RingCentral to locate this information and reconstruct a customer’s communication history. AFN needed these interactions connected directly to the appropriate Quickbase Activity record, making relevant communication details accessible within the same environment used to manage Leads and Deals.

By bringing call activity, recordings, voicemail transcripts, and other RingCentral communication data into Quickbase, AFN could create a more complete record of each customer relationship and give employees greater context when managing financing opportunities and follow-up activities. The objective was to establish a centralized customer communication history inside Quickbase, giving funding specialists a more comprehensive view of customer interactions without requiring them to search across multiple systems.

The Solutions

Building a Custom RingCentral + Quickbase Integration

Following the initial RingCentral API discovery, Quandary Consulting Group designed and implemented a deeper integration between Quickbase and RingCentral, connecting Advance Funds Network’s customer communication infrastructure directly with the CRM environment used to manage Leads, Deals, and customer activity.

The engagement included approximately 90 hours of consulting and development across Quickbase application development, custom development, process improvement, and systems integration, with an anticipated implementation timeline of four to six weeks.

Rather than allowing Quickbase and RingCentral to operate as separate systems, Quandary designed an integration architecture that enabled communication activity to flow between the platforms automatically: Quickbase → Microsoft Azure Functions → RingCentral → Employee & Customer Communications.

Within this architecture, Microsoft Azure Functions served as the integration layer, facilitating the exchange of communication data between RingCentral and Quickbase. Quickbase remained AFN’s centralized operational environment for managing Leads, Deals, Activities, and customer communication history, while RingCentral continued to support the calls, text messages, voicemails, and other interactions occurring between employees and customers.

Security was also incorporated directly into the integration design. The architecture included Azure Key Vault for secure credential and secret management, along with a dedicated Quickbase service user to support controlled system-to-system communication and the result was a foundation for a more connected customer engagement and business funding platform—one designed to bring customer conversations and financing opportunities together, reduce the operational gaps between systems, and give AFN employees a more complete view of customer activity directly within Quickbase.

Automatically Connecting Incoming Calls to Leads and Deals

One of the most important components of the integration was automatic customer identification and activity matching. When an incoming call reached Advance Funds Network, the integration used the caller’s telephone number to identify and associate the interaction with the corresponding Lead or Deal record in Quickbase. Rather than requiring employees to answer a call and then manually search for the appropriate customer or financing opportunity, the communication could be connected directly to the customer’s existing operational history. This reduced manual lookup and helped ensure that important interactions became part of the CRM record as they occurred.

The corresponding Quickbase Activity record was also designed to capture additional context surrounding each interaction, including the RingCentral extension that received the call and the amount of time the caller waited before the call was answered. By capturing and structuring this information within Quickbase, AFN transformed basic telephony activity into actionable CRM data. Funding specialists gained greater context around individual customer interactions, while the organization gained a more complete record of communication activity connected directly to the Leads and Deals driving the funding process.

Automatically Logging Call Recordings in Quickbase

Quandary also designed the integration to make recorded customer conversations directly accessible from Quickbase, creating a more complete communication history around each financing opportunity. Incoming calls could be recorded and associated with the corresponding Quickbase Activity record, allowing employees to access relevant conversation history alongside the Lead or Deal information they were already using to manage the customer relationship; functionality was also added for retrieving recording links stored in Google Drive or Dropbox and connecting those references to the appropriate Quickbase records.

This eliminated the need for funding specialists to search across multiple applications to locate previous conversations or reconstruct the history of a customer interaction. Instead, the customer’s Quickbase record could serve as a centralized point of reference for both operational and communication activity, giving employees the context needed to manage follow-ups and financing opportunities more efficiently. For AFN leadership, centralizing call activity and recording access also created stronger visibility into customer engagement and sales communications. Managers could more easily understand the interactions taking place around Leads and Deals, creating a stronger foundation for sales oversight, coaching, accountability, and customer experience management.

Bringing Voicemail Transcripts Directly Into Quickbase

Missed calls could contain valuable information about a customer’s funding needs, application status, documentation questions, or requested next steps. Quandary designed the integration to ensure that those interactions became part of the customer’s operational history rather than remaining isolated within RingCentral.

When a customer left a voicemail, the integration could retrieve the RingCentral-generated voicemail transcript and automatically associate it with the corresponding Quickbase Activity record. Funding specialists reviewing a Lead or Deal could immediately see the context of the missed interaction without switching applications, searching for the voicemail, or listening to the entire recording before determining what action was needed. By bringing voicemail transcripts directly into Quickbase, AFN created a more complete and accessible customer communication history spanning answered calls, missed calls, recorded conversations, and voicemail activity. This gave funding specialists the context needed to prioritize follow-up, respond more efficiently, and determine the appropriate next action faster, while strengthening Quickbase as the centralized CRM record for customer engagement throughout the business funding lifecycle.

Enabling Click-to-Dial Directly From Quickbase

The integration extended beyond capturing incoming communications. Quandary also brought outbound calling directly into the Quickbase workflow, allowing AFN funding specialists to initiate customer conversations from the same environment they used to manage Leads and Deals. Since AFN's customer records could contain multiple telephone numbers, the solution included multiple Call buttons within Quickbase. Employees could select the appropriate number and initiate a RingCentral call directly from the customer record, eliminating unnecessary navigation between systems.

  • This transformed a multi-step process: Open Quickbase → Find Customer → Copy Number → Open RingCentral → Paste Number → Call → Return to Quickbase
  • Into a much simpler workflow: Open Customer Record → Click Call → Communicate

By removing repetitive steps from one of the most frequent activities in the funding process, AFN created a faster and more intuitive experience for funding specialists. Employees could spend less time navigating applications and manually transferring information and more time engaging with prospective and existing customers; at higher call volumes, even small workflow improvements can compound into meaningful operational efficiencies.

Embedding outbound calling within Quickbase helped AFN reduce administrative friction, accelerate customer outreach, and create a more seamless connection between communication activity and the financing opportunities employees were working to advance.

Automatically Capturing Incoming Text Messages

Text messaging was incorporated into the same centralized customer communication strategy, ensuring that SMS interactions became part of the broader customer and financing history maintained within Quickbase.

Incoming RingCentral text messages were designed to be automatically captured, matched, and associated with the appropriate Lead or Deal based on predefined matching criteria. This reduced the need for employees to manually reconcile text conversations with customer records and helped prevent valuable SMS activity from becoming isolated within RingCentral.

By connecting text messages directly to the corresponding Quickbase record, AFN could maintain a more complete, chronological view of customer engagement across multiple communication channels. Funding specialists reviewing an opportunity could see relevant SMS activity alongside calls, voicemails, recordings, and other customer information without piecing together interactions from separate systems.

This gave employees greater context when managing financing opportunities, supported faster and more informed follow-up, and strengthened Quickbase as AFN’s centralized system for understanding the complete customer relationship.

Creating a Complete Record of Outbound SMS Conversations

Outbound text messages were incorporated into the same centralized Quickbase communication history, ensuring that AFN maintained visibility into both sides of customer conversations.

The integration was designed to log outgoing SMS messages according to the telephone number used and automatically connect that activity to the appropriate Lead or Deal record. As a result, funding specialists could review a more complete history of customer engagement without searching RingCentral or manually documenting conversations in Quickbase.

  • The connected communication history brought multiple channels together: Inbound Calls + Outbound Calls + Voicemails + Inbound Texts + Outbound Texts

Rather than maintaining fragmented histories across separate communication tools, AFN established the foundation for a 360-degree customer communication record inside Quickbase. Employees could see how and when a customer had been contacted, review previous interactions, and approach the next conversation with greater context.

This gave AFN a more comprehensive view of the customer relationship while strengthening Quickbase as the operational system of record for managing financing opportunities and the communications surrounding them.

Accelerating Customer Outreach With Editable SMS Templates

AFN also needed to increase communication efficiency without sacrificing the personalized interactions that are essential to relationship-based business funding.

Quandary incorporated editable SMS templates directly into the workflow, giving funding specialists a faster way to prepare frequently used customer messages. Employees could select a predefined template, automatically populate the outgoing message, and then edit the content before sending it.

This approach created an effective balance between standardization and personalization. Common communications—such as documentation requests, application follow-ups, status updates, and next-step reminders—could be prepared more quickly while funding specialists retained control over the final message.

For a high-volume financial services operation, reducing repetitive typing across hundreds or thousands of customer interactions can create meaningful efficiency gains. More importantly, AFN could achieve those efficiencies without replacing personalized customer engagement with rigid, one-size-fits-all automation.

Building Security Into the Quickbase and RingCentral Integration

Because the integration connected Quickbase, Microsoft Azure, and RingCentral while exchanging customer communication data between systems, security was incorporated directly into the technical architecture.

The solution specified Microsoft Azure Key Vault to support secure management of integration credentials and secrets, along with a dedicated Quickbase service-user license for controlled system-to-system activity. Advanced security practices were also incorporated into the project's development scope.

Quandary further reduced implementation risk by developing and testing the integration within a copy of AFN’s Quickbase application rather than directly within the production environment. This allowed functionality to be configured, validated, and refined before being introduced into the environment employees relied on for daily operations.

Together, these measures created a more controlled implementation approach designed to protect sensitive integration credentials, support secure communication between systems, and minimize disruption to AFN’s live business operations.

Supporting Adoption Through Testing, Training, and Documentation

Successful integration required more than connecting APIs. The new functionality needed to work reliably and become a practical part of how AFN employees managed customer relationships every day.

Quandary therefore incorporated testing, employee training, and documentation as formal components of the engagement. AFN stakeholders could validate the integration and its workflows before production deployment, helping identify issues and confirm that functionality aligned with actual business requirements.

Employee training helped funding specialists understand how to use the new communication capabilities within Quickbase, while documentation provided AFN with a reference for ongoing administration, troubleshooting, and future support. The result was more than a technical connection between Quickbase and RingCentral. Quandary created an integrated customer communication workflow embedded directly into AFN’s operational CRM, bringing calls, texts, voicemails, recordings, customer records, and financing opportunities together within a more connected employee experience.
