KR Wolfe operates from locations in Incline Village, Nevada; Lakeside, California; Phoenix, Arizona; and Tampa, Florida, with skilled technicians deployed across the United States.
KR Wolfe specializes in complex, high-stakes environments where precision, uptime, safety, and accountability are critical. Its certified technicians support advanced medical equipment installations, operating room renovations, facility construction, preventive maintenance, and technology-driven field service projects. The company reports 2,000+ projects completed annually, 100+ monthly hospital onsite engagements, and a 99% first-visit completion rate for field service work.
Operating at that scale requires tight control over the tools, equipment, and field assets employees rely on every day. As KR Wolfe expanded its national footprint, the lack of a centralized inventory system became an increasingly costly operational problem.
KR Wolfe lacked a centralized system for tracking tools, equipment, and inventory across its warehouse, field technicians, and active job sites. Equipment was routinely issued to employees and later transferred between technicians based on changing project requirements. One of the most expensive consequences of the fragmented process was duplicate purchasing. Employees sometimes requested replacement equipment because KR Wolfe could not reliably locate assets it already owned, KR Wolfe, therefore incurred unnecessary capital expenditures for tools and equipment that were still somewhere within the organization but had become effectively invisible.

Employee off-boarding presented another significant risk, when employees left KR Wolfe, tools and equipment assigned informally were not always returned. Since the ownership and assignment histories were incomplete, management had limited ability to identify exactly which assets should be collected before an employee’s departure, which meant company-owned equipment left with former employees and was not returned at time of departure was only increasing replacement costs and weakening accountability.
The lack of structured inventory records also created challenges for KR Wolfe’s accounting team. Quandary introduced formal equipment check-in and check-out workflows; this process was a completely new workflow that KR Wolfe desperately needed to have implemented. The trigger for the workflow to start was when a KR Wolfe technician receives equipment, the transaction is recorded in Quickbase.
The platform captured which asset was issued, which employee received it, where it is assigned, and when the transaction occurred and when equipment was returned to the warehouse, the asset could then be checked back in and made available for reassignment. This new workflow completely replaced the current informal handoffs, and also added a structured digital audit trail.
KR Wolfe technicians regularly move between projects and exchange equipment based on current job requirements. The custom Quickbase system was designed to support controlled employee-to-employee asset transfers while preserving a complete assignment history. Which meant that, instead of a tool disappearing from one employee’s responsibility and informally appearing with another, the transfer is documented; perserving accountability without slowing down field operations.
The platform required employees to acknowledge receipt when equipment is issued, which created a documented record showing: What was issued → Who received it → When they received it This process strengthened KR Wolfe’s chain of custody for company-owned tools and equipment and if an asset later becomes lost, damaged, or unreturned, leadership has a clear record of the last documented assignment.
Quandary also created a streamlined workflow allowing KR Wolfe field employees to request tools and equipment directly through their dashboard. This meant that instead of relying on emails, phone calls, or verbal requests, technicians can submit structured equipment requests within Quickbase.
Management could now review and approve requests before the inventory is issued or new equipment is purchased and this new oversight improved both employee responsiveness and purchasing discipline.
The system monitors inventory levels and supports automated replenishment workflows when stock falls below defined thresholds. This meant that rather than discovering shortages only when technicians urgently need equipment, KR Wolfe’s warehouse team gains earlier visibility into inventory requirements. This supported a more proactive planning environment and also reduced the risk of job delays caused by unavailable equipment.
KR Wolfe’s field-service work involves equipment that may require periodic inspection, calibration, maintenance, or repair. The custom system also supported temporary collection workflows. When KR Wolfe tools need calibration, inspection, repair, or preventive maintenance, equipment can be removed temporarily from an employee assignment without losing the underlying asset history. Once servicing is complete, the equipment can return to the field with its updated maintenance record attached.

These assets represented more than $50,000 in equipment value and leadership gained one source of truth for the location, assignment, condition, and financial status of company-owned equipment.

When applicable, replacement or repair costs could now be assigned to the responsible employee based on documented asset records rather than incomplete paperwork or manual tracking. This created a clear chain of custody for equipment, gave KR Wolfe stronger documentation to support cost-recovery decisions, and reinforced accountability across its distributed field workforce.
The custom inventory platform now tracks and manages more than 1,000 KR Wolfe tools and equipment assets within a centralized Quickbase application. This meant KR Wolfe gained one consistent source of truth across all warehouses and field operations.
The platform provides visibility into more than $50,000 worth of equipment. Leadership can view both the total value of inventory on hand and the dollar value of equipment currently issued to employees and this gives KR Wolfe a much stronger understanding of where company capital is deployed.
Greater visibility into existing equipment reduced unnecessary purchases caused by assets being misplaced or unaccounted for. Before approving a new equipment request, KR Wolfe managers can verify whether an appropriate asset already exists elsewhere within the organization, thus creating a much stronger control over capital spending.
Structured check-in/check-out workflows, transfers, and employee acknowledgments established a complete asset chain of custody. KR Wolfe can now identify which employee, warehouse, project, or location is responsible for equipment at any point in time; completely removing the ambiguity surrounding lost or damaged assets.
