Discover how Quandary combined Quickbase, Workato, and DocuSign to automate and manage 13,000+ employee credentials across 20+ certification types.
The Company Profile
This national organization delivers specialized services through teams of General Contracting Specialists and Systems Integration Specialists, supporting projects across the medical, education, commercial, government, and solar sectors. The company is recognized for its expertise in complex construction environments and proprietary systems integration.
With particular strength in the healthcare sector, its certified technicians are qualified by leading manufacturers to install and fully integrate advanced operating room equipment and execute hospital construction projects. Their capabilities span a wide range of initiatives, including cleanroom renovations, facility retrofits, and ground-up healthcare construction, all requiring strict compliance and technical precision.
The Challenges
Due to industry demands and sustained growth, the company operated in a near-constant hiring cycle to support expanding project workloads nationwide. This growth created increasing complexity within employee onboarding and credential management.
Because the organization services facilities across multiple states, each jurisdiction imposed unique regulatory requirements, including varying state-specific credentials, medical clearances, identification documentation, safety certifications, and compliance forms. As hiring accelerated, the volume and variability of required documentation expanded significantly.
The Human Resources team faced mounting administrative pressure to efficiently identify, collect, verify, and organize onboarding documents for each new hire. Manual tracking methods made it difficult to ensure completeness, accuracy, and timely compliance.
In addition to onboarding, the company needed a reliable system to monitor ongoing credential renewals and recertifications. Without structured tracking, there was risk of expired certifications, compliance gaps, and potential project delays.
Leadership required a scalable, automated solution capable of streamlining multi-state onboarding requirements, centralizing documentation, and proactively managing credential renewals to ensure continuous compliance and operational readiness across the workforce.
Client Testimonial
“This team does a great job communicating changes, scheduling calls, and doing whatever it takes to create the program the business needs. They are approachable, collaborative, and consistently take on new challenges, turning them into practical solutions.”
The Solutions
Quandary Consulting Group partnered closely with the Human Resources team to design and implement a scalable, automated employee onboarding and credential management platform built on Quickbase.
The solution centralized onboarding workflows while automating documentation collection, compliance tracking, and recertification management across multiple states and job functions.
Automated Onboarding Workflow
The platform initiates onboarding by sending each new hire a secure, role-specific Quickbase intake form to collect required personal and employment information. Once submitted, the system automatically maps the data into the core HR application using workflow automation.
To streamline documentation and ensure compliance accuracy, the platform integrates with DocuSign via Workato. Based on the employee’s location, role, and applicable regulatory requirements, the system dynamically sends only the relevant onboarding and credentialing documents. This targeted template logic ensures that employees receive precisely the forms they need—no more and no less—reducing confusion and administrative overhead.
After documents are completed and electronically signed:
Data is automatically synced back into Quickbase using Workato
Documents are securely stored within the employee’s digital personnel file
Human Resources receives automated completion notifications
Required credentials are logged directly into the employee’s profile
Credential Tracking and Compliance Automation
The system tracks all certifications, medical clearances, and state-specific requirements associated with each employee. Credentials requiring renewal are automatically monitored, and proactive reminders are sent to both employees and managers prior to expiration.
This automation workflow:
Prevents lapses in required certifications
Reduces compliance risk across multiple states
Minimizes worksite access issues
Prevents project delays caused by expired credentials
The platform also flags credential issues directly on employee dashboards, providing HR and leadership with real-time visibility into compliance status.
By consolidating onboarding, document management, and credential tracking into a single automated system, the organization significantly reduced administrative burden, strengthened regulatory compliance, and ensured operational readiness across its growing national workforce.
The Results
The implementation of the automated onboarding and credential management platform delivered significant efficiency gains and strengthened compliance oversight across the organization.
As a result, the Human Resources department can now:
Process hundreds of electronically signed documents through DocuSign using automated workflows, eliminating manual mailing and paper-based handling
Reduce onboarding time by several hours per new employee, accelerating workforce deployment
Eliminate the risk of misplaced paperwork and missing credential documentation through centralized digital storage
Proactively send automated credential renewal notifications to prevent lapses and expired certifications
Track and manage more than 13,000 employee credentials across over 20 distinct certification types within Quickbase
Access real-time reporting dashboards that provide clear visibility into each employee’s credential status and compliance standing
The platform has transformed HR operations from a manual, document-heavy process into a streamlined, data-driven system. The result is faster onboarding, improved regulatory compliance, reduced administrative burden, and enhanced operational readiness across a nationwide workforce.
